Cancellation & Fee Refund Policy: IES University, Bhopal

At IES University, we strive to maintain the highest standards of transparency and fairness in our administrative processes. Our refund policy is strictly aligned with the statutory norms of UGC, AICTE, PCI, INC, and NCISM, ensuring a balanced approach for both the institution and the student.

1. Scope of the Policy

This policy governs all cancellations for Undergraduate, Postgraduate, Diploma, and Doctoral (Ph.D.) programs. By submitting the admission fee, the applicant agrees to the terms and conditions outlined herein.

2. Strategic Refund Timelines

Refund eligibility is strictly time-bound. The "Commencement of Classes" serves as the official benchmark for all calculations, regardless of the student's actual date of attendance.

3. The "Non-Refundable" Component

To maintain administrative efficiency, certain charges are classified as Non-Refundable once the process has been initiated:

  • Registration & Application Fees: Covers the cost of processing and technical evaluation.
  • Admission Processing Charges: Fixed administrative overheads.
  • Examination Fees: If the enrollment has been mapped to the regulatory body.
  • Ancillary Costs: Charges for Uniforms, Kits, or Study Materials if already issued.
  • Hostel Admission Fees: Non-refundable once allotment is confirmed.

4. Mandatory Requirements for Refund Processing

To ensure the security of financial transactions and prevent fraudulent cancellations, the following Strict Compliance is required. Failure to provide these will result in the "Pending" status of the refund:

  1. Original Document Surrender: The refund process cannot initiate until the Original Fee Receipt and Provisional Admission Letter are surrendered to the Registrar’s Office.
  2. Video Authentication: In certain cases, a student verification video may be required to confirm the voluntary nature of the withdrawal.
  3. No-Dues Clearance: Applicants must obtain a physical "Clearance Certificate" from the Department, Library, and Hostel (if applicable).
  4. Verified Payee Details: Refunds are only processed via Bank Transfer (NEFT/RTGS) to the original fee payer or the student’s verified account. No cash refunds are entertained under any circumstances.

5. Cancellation by the University

IES University reserves the right to cancel admission with No Refund (except caution money, if applicable) in the event of:

  • Submission of forged, fabricated, or invalid academic/identity documents.
  • Failure to meet the minimum eligibility criteria upon final verification.
  • Non-payment of the balance fee within the stipulated university deadline.

6. Refund Procedure (Step-by-Step)

To ensure your request is processed within the 15 to 30 working day window, please follow this protocol:

  • Step 1: Submit a formal written application to the Admission Cell.
  • Step 2: Attach original receipts, Aadhaar copy, and cancelled cheque of the payee.
  • Step 3: Obtain the "Application Reference Number" for tracking.
  • Step 4: Upon approval from the competent authority, the amount will be credited electronically.

Important Policy Notes

  • Peak Period Delays: Processing may take longer during admission peaks; students are advised to maintain the tracking ID provided by the Accounts Department.
  • Scholarship/Loan Cases: For students under the Bihar Student Credit Card or other loans, refunds are subject to the specific guidelines of the lending bank/government department.
  • Finality: The decision of the University Management regarding fee disputes shall be final and binding.
